Privacy Policy

Phase Integration, LLC is a national workplace technology company headquartered in Jacksonville, Florida. In this policy, “we” and “us” mean Phase Integration, LLC.

This policy covers this website, the contact form on it, the online booking pages we link to for scheduling meetings, the emails we send, and the tools our team uses to connect with LinkedIn. It does not cover other companies’ websites we link to.

• Contact form: your name, email address, phone number and company (if you give them), and your message.
• Booking a meeting: your name, email address, company, phone number (if you give it), any answers you type, and the time you choose.
• Emails and calls: whatever you choose to tell us when you contact us directly.

• How you found us. On your first visit we save a small cookie named pi_ft that records how you arrived: the site that sent you, the first page you landed on, and any campaign tags or ad-click code in the link. It holds no name or contact details and expires after 90 days. If you send the contact form, it is sent with your message so we know which of our marketing is working.
• Landing page tests. When you open one of our campaign landing pages we save a small cookie named pi_lp holding a random code. Sometimes we try two versions of a page; the code keeps you on the same version, and we count one visit per day for each version, with the version noted on any message you send, to see which works better. It holds no name or contact details and expires after 90 days.
• Website analytics. We use Google Analytics to count visits and see which pages are read and how people reach us (for example from a search engine, LinkedIn or an AI assistant). Google Analytics sets its own cookies and records information such as your approximate location, device and browser. It does not tell us who you are. Sending the contact form is counted as an enquiry, without its contents. You can opt out with Google’s opt-out add-on.
• Spam protection. The contact form uses Cloudflare Turnstile, which checks signals from your browser to tell people from automated bots.
• Videos. Project videos play from YouTube in its privacy-enhanced mode. YouTube may set its own cookies once you press play.
• Server logs. Our hosting provider keeps standard technical logs (such as IP address, browser type and the pages requested) to run and secure the site.

We do not sell your information or share it with anyone for their own advertising.

• To reply to you, prepare quotes, and provide our services.
• To schedule and hold meetings you book with us.
• To keep a record of the enquiry in our internal customer system, so whoever helps you has the history.
• To understand which of our marketing brings enquiries in.
• To send existing and past clients occasional emails, such as a check-in or our newsletter. Every newsletter has an unsubscribe link.
• To keep our forms free of spam and abuse.

We use AI tools to help sort incoming enquiries (for example, to spot spam) and to draft first replies. A member of our team reads and sends every reply; nothing is sent to you automatically by AI.

If you reach us by clicking one of our Google ads, the link carries a click code from Google. If that enquiry later becomes work with us, we send Google the click code, the date and the value of the work, so Google can tell us which ads are worth running. We do not send your name, email address or message.

Our team uses an internal portal that can connect to LinkedIn through LinkedIn’s official tools. It is used only by Phase Integration staff and administrators of our LinkedIn company page.

• Staff profiles.A staff member can choose to connect their own LinkedIn account on LinkedIn’s own permission screen. We then receive their basic profile (name, email address and profile picture) and permission to publish posts for them. We use it only to publish posts that person has reviewed and approved. We cannot see their feed, messages or connections.
• Our company page.A page administrator can authorise the portal to publish posts that we have reviewed and approved, and to read the statistics for our own page’s posts.
• Storage and removal. LinkedIn access is stored encrypted. It is deleted when the person disconnects in the portal or leaves Phase Integration, and anyone can also remove our access in their LinkedIn settings at any time.

We share information only with service providers that help us run our business, and only for that purpose:

• Vercel (website hosting)
• Supabase (database storage)
• Resend (sending email)
• Google (website analytics and measuring our Google ads)
• Cloudflare (spam protection on forms)
• Google and Zoom (calendars and video meetings you book)
• Anthropic (AI used to sort enquiries and draft replies)
• LinkedIn (when staff choose to post through our portal)

We may also share information if the law requires it, to protect our rights or someone’s safety, or as part of a merger or sale of our business.

Your information is stored with these providers in the United States and Canada.

We keep enquiries and contact details for as long as we have, or may have, a business relationship with you, and as long as our records and legal obligations require. The pi_ft and pi_lp cookies expire after 90 days. You can ask us to delete your information at any time.

• Ask to see, correct or delete the information we hold about you.
• Unsubscribe from any marketing email using the link in it.
• Block or delete cookies in your browser settings. The contact form still works without them.

We use encrypted connections (HTTPS), store sign-in tokens encrypted, and limit access to the people at Phase Integration who need it. No system is perfectly secure, but we work to protect your information.

Our website and services are for businesses. They are not directed at children, and we do not knowingly collect information from anyone under 16.

If we change how we handle information, we will update this page and the “Last updated” date above.
